Position overview:

 

Optimas is currently searching for an experienced and enthusiastic Warehouse Administrator for our site in Gloucester.

This role will be required for the PM shift from 1.30pm – 10pm Monday – Thursday and 12.30pm – 8.30pm on Fridays.

 

Principal Activities:

 

          Understand, develop and promote the Company’s business objectives and participate with total enthusiasm and commitment to achieve and exceed them

          Ensure that you fully understand your work requirements and duties and highlight any training needs and requirements to enable you to undertake your duties

 

Key Tasks and Responsibilities:

  • Ensure Company policies and procedures are understood and strictly adhered to at all times
  • KPI’s and reporting where applicable
  • RDR’s – (Receiving Discrepancy Reports) are dealt with quickly and accurately
  • RTV – (Return to Vendor) working on systems to implement these actions
  • Ensure the team release picks to the warehouse
  • RA’s – Receiving Authorisations
  • To make sure the team book stock into the warehouse locations in a timely and accurate manner
  • Liaising with all departments where necessary to ensure a smooth flow through the department.

 

Export:

  • Knowledge of Export process
  • Raising of commercial invoices for export
  • Collation of ‘Proof of Export’ for HMRC VAT requirements
  • Managing monthly reports ‘Proof of Exports’ and updating leadership team of progress
  • Collating and distribution of picking documentation including scan file

 

General:

  • Maintain a proactive approach and a CAN-DO attitude at all times.
  • Covering other areas of the administration department during holidays / sickness.
  • Flexible approach to work shift patterns currently operating a 3-shift system
  • Ensure specified deadlines for work and/or reporting are met
  • Be accountable for the area of the business you manage
  • Maintain records as required
  • Manage office stationary, Labels, Paper, cartridges, ribbons etc.
  • Ensure any special instructions are noted and carried out
  • Enforce good housekeeping & document control
  • Ability to work independently and take initiative
  • Ability to work with minimum supervision, multi-task and be flexible
  • Anything else that may arise or require doing to ensure the continued smooth running of the department.

  • Highly organized, showing good attention to detail
  • Ability to prioritise and to work to deadlines with good time management skills
  • Excellent communication skills, both written and verbal
  • Ability to work independently and take initiative
  • Ability to work with minimum supervision, multi-task and be flexible
  • Strong computer literacy skills
  • Proficiency in Microsoft Office packages – in particular Excel and a good working knowledge of Office365
  • Stock administration skills
  • Working well as part of a team
